- Clients: When you sign up for our Services, request a demo, or contact us, we may collect your name, email address, phone number, company name, job title, payment information (processed by our third-party payment processors), account credentials, and information about your service requirements.
- Website Visitors: If you fill out a contact form, subscribe to updates, or interact with Site features, we may collect your name, email address, phone number, and any other information you choose to provide.
- Information Collected Automatically (Site Usage):
- When you visit our Site, we may automatically collect information like your IP address, browser type, operating system, device information, pages visited, time spent on pages, and referring website addresses through cookies and similar tracking technologies.
- Information Processed on Behalf of Clients (Lead Data):
- When providing Services to our Clients, we process information about Leads generated through marketing campaigns run on behalf of our Clients. This may include Lead names, email addresses, phone numbers, and information relevant to mortgage qualification provided by the Lead (e.g., estimated credit score range, household income range, purchase/refinance intent, loan timeline).
- We also process data from interactions between our AI agents (SMS/voice) and Leads, which may include transcripts, call logs, and qualification outcomes. This is done solely to provide the Services to our Clients. AI Appointments acts as a data processor for this Lead Data on behalf of our Clients, who are the data controllers.

To Provide and Manage Services: To set up and maintain Client accounts, deliver lead generation and AI agent services, process payments, and manage our relationship with Clients.
- To Process Lead Information for Clients: To qualify Leads using AI agents, conduct follow-ups, book appointments on behalf of our Clients, and provide Clients with relevant Lead data and interaction history.
- To Communicate: To respond to inquiries, send service-related updates, provide customer support, and send marketing communications (where permitted and with opt-out options).
- To Improve Our Site and Services: To analyze usage trends, monitor the effectiveness of our Site and Services, troubleshoot issues, develop new features, and improve the performance and accuracy of our AI models (often using aggregated or anonymized data).
- For Security and Compliance: To protect the security and integrity of our Site and Services, prevent fraud, enforce our terms, and comply with legal obligations.

- With Our Clients: We share Lead information (including contact details, qualification data, and interaction history) collected and processed on their behalf directly with the respective Client for whom the Services are being performed.
- With Service Providers: We engage third-party companies and individuals to perform services on our behalf (e.g., cloud hosting providers like AWS/Google Cloud, CRM platforms, payment processors, communication platforms like Twilio for SMS/Voice functionalities, analytics providers). These providers only have access to the information necessary to perform their tasks and are obligated not to disclose or use it for other purposes.
- For Legal Reasons: We may disclose information if required by law, regulation, legal process (like a subpoena), or governmental request, or to protect the rights, property, or safety of AI Appointments, our Clients, our users, or the public.

- Client information is typically retained for the duration of the active service relationship and for a reasonable period afterward for record-keeping and legal purposes.
- Lead Data processed on behalf of Clients is retained according to the Client's instructions or our service agreement terms, and typically only for the period necessary to provide the Services.
- Site usage data may be retained for analytical purposes for a limited period.
8. Your Privacy Rights
- For Clients and Website Visitors: You may have the right to access, correct, update, or request deletion of your personal information held by us. You may also have the right to object to or restrict certain processing. You can usually manage your account information directly or by contacting us.
- For Leads Processed on Behalf of Clients: Since we process your data as a data processor acting on instructions from our Client (the Loan Officer/Mortgage Broker who is the data controller), requests to exercise your privacy rights (such as access, correction, deletion) should generally be directed to that Client. However, you can also contact us, and we will assist by forwarding your request to the relevant Client where appropriate and feasible.
